OnTrack Schools ("we," "us," or "our") is committed to protecting the privacy of students, teachers, and school administrators who use our platform. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.

Information We Collect

Account Information

When you create an account, we collect your name, email address, role (teacher, administrator, etc.), and the name of your school or district.

Student Roster Data

Teachers may import or manually enter student names and any additional fields needed for behavior tracking. We treat all student data as protected educational records under FERPA.

Behavior Logs

When you log a student behavior, we store the behavior category, timestamp, optional notes, and the teacher's identifier. This data is used only to power the reporting and dashboard features within your account.

Usage Data

We collect anonymized usage data (page views, feature interactions) to improve the product. This data cannot be linked to individual students.

How We Use Your Data

• To provide, operate, and improve the OnTrack platform
• To generate behavior reports and dashboards for authorized users
• To respond to support requests
• To send product updates and announcements (you may opt out at any time)

We do not sell, rent, or share student data with any third parties for commercial purposes.

FERPA Compliance

OnTrack Schools operates as a "school official" under FERPA, with a legitimate educational interest in student records. We:

• Use student data only for educational purposes on behalf of the school
• Do not disclose student records to unauthorized parties
• Provide Data Processing Agreements to districts upon request
• Support schools in meeting their own FERPA obligations

Data Security

All data is transmitted over encrypted HTTPS connections. Data at rest is encrypted using industry-standard methods. Access to production data is restricted to authorized personnel only.

Data Retention

You may delete your account and all associated data at any time. Free plan accounts retain 90 days of behavior history; School Plan accounts retain 3 years. We retain records as required by law.

Children's Privacy

OnTrack is designed for use by teachers and administrators. We do not provide accounts to students directly and do not knowingly collect personal information from children under 13 except as entered by authorized school officials as part of roster management.

Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete personal data we hold about you. To exercise these rights, contact us at privacy@ontrackschools.com.
